How to promote an event on Instagram: Stories, Collabs and DMs that sell seats

To promote an event on Instagram, put the registration link on a Story link sticker and in your bio, add a countdown sticker so people can ask to be reminded, publish Collab posts with your speakers and partners, and send personal DMs to the specific people you want in the room. Posts and Stories reach people who already follow you. DMs reach the ones who don't. Most guides stop at the first half, which is why so much Instagram promotion fills the room with people who were coming anyway. Here's what each feature does for registrations, what to write in a DM, the limits to respect and the math that tells you how much to send.

Does Instagram have an events feature?

Not the way Facebook and LinkedIn do. There's no Instagram event page with an RSVP button and a guest list. What you get is a set of tools that each do one job: get your event seen, get a tap through to the registration page, or put a reminder in front of someone at the right moment. Used together, they cover the whole path from “never heard of it” to “see you Thursday”.

    Feature

Feature behavior from Instagram's own announcement and help pages, checked November 2026. Brand-new accounts and accounts with repeated violations don't get the link sticker. Instagram moves and renames features often, so check in the app before you plan around one.

Every row but the last depends on the algorithm deciding who sees you. DMs are the only row where you decide who gets invited.

    02

How do you use Instagram Stories to sell an event?

Stories are where your followers look every day, and a link is one tap away. Give every event Story one job and put the link sticker on all of them. Pace them to the end, because registrations come late. In Livestorm's benchmark of 33,786 webinar sessions, half arrived in the last week.

    49.7%

of webinar registrations come in the final 7 days, and 15% on the day itself

So don't front-load announcement week and go quiet:

    1. 1Announcement day: 1 Story with the date, a one-line promise and the link sticker, then a poll sticker asking “Coming?”.
    2. 2Every week: 1 speaker, agenda or venue Story, each with the link.
    3. 32 weeks out: a countdown sticker set to the registration deadline or the start time. Everyone who turns on a reminder gets a notification when it ends. It creates reminders, not sign-ups, so keep a link sticker on the same Story.
    4. 41 week out: a question sticker, “What should we ask the panel?” Every answer is content for later, and a list of people who care.
    5. 5Final 48 hours: seats left, if it's true, the link sticker and the countdown again.
    6. 6Event day: behind the scenes from setup, “doors at 6”, the link one last time.

One catch: a Story with a link sticker can't be boosted as an ad. Boost a Reel or a feed post instead. Save every event Story into a Highlight named after the event. And note who votes on the poll and answers the question sticker: they raised their hand in public, so they're the first ones to message.

    03

How do you use Collab posts to promote an event?

A Collab post is one post that appears on more than one profile at once. You invite up to 5 collaborators, they accept, and the post shows up on every grid and in both audiences' feeds, with one shared set of likes and comments. For an event, that's the cheapest reach you'll ever get, because your speakers' and partners' followers look a lot like the people you want in the room.

Organizers already lean on this. In a TSNN survey, it was the second most used registration tactic after email.

    59%

of show organizers get speakers, attendees and exhibitors to share their attendance on social

Run a Collab for each speaker announcement, each sponsor, the venue and any community that co-hosts. Make it easy to say yes: write the caption so it works for their audience, not just yours, and give each partner a personal registration link or code so you can see whose followers actually signed up.

Asking a speaker for a CollabGets replies

Hey Priya, we're announcing your session on Tuesday. Can I send it as a Collab post so it goes to your followers too? I'll write the caption and send you a preview first. You just hit accept.

Speakers say yes to that because the work is done. “Please share the event” gets a vague yes and nothing.

    04

    Which Reels sell an event?

Reels reach people who don't follow you, and they're what everyone watches when they check your profile after a DM. The formats that work show the room, not the poster:

    • A 20-second speaker clip: one strong opinion from a speaker, filmed on a phone, with the event in the caption.
    • Last year's recap: a full room, 3 short attendee quotes, the date of this year's event at the end.
    • The venue walk: where people will stand, eat and talk. It answers “is this worth the drive?” before anyone asks.
    • “3 things you'll leave with”: the agenda, said out loud, in under 30 seconds.
    • A reply Reel: answer a real question from your comments on camera.

End every Reel with “link in bio” said out loud, pin the best one to your grid, and write the city and topic in the caption in plain words. People search for things like “marketing events Austin”.

    05

Should you use an Instagram broadcast channel for your event?

If you already have a following, yes. A broadcast channel is a one-to-many chat followers choose to join. Your posts land in their inbox like a message, and they can react or vote in polls but not reply. It fits event updates: early access, speaker drops, the agenda, the “we start in 1 hour” nudge. Give past attendees and customers something the feed doesn't get, like early registration. Just don't expect new people from it. Only followers who joined will ever see it.

    06

How do you DM people about your event without getting blocked?

This is where you stop waiting to be found and invite the right people yourself. Instagram is strictest here, so learn 3 rules first.

    1. 1One message, text only. Since 2023, someone who doesn't follow you gets a single text-only message request until they accept, as TechCrunch reported. No images, no second message. Your first DM is often the only one they see.
    2. 2Requests can be hidden. Messages that look templated, high volume or spammy get filtered into Hidden Requests, and you're never told. More in why Instagram DMs land in Hidden Requests.
    3. 3No published limit, so pace like a person. Meta doesn't publish a daily DM number. Community estimates put established accounts around 30 to 40 cold DMs a day and new accounts at 10 to 20, per Inro. Stay well under, spread through the day.

The best lists come from public signals: commenters on your speakers' posts, followers of your partners and venue, commenters on Reels about your topic, and everyone who answered your Story stickers. Before the DM, view their profile, like a post and leave a real comment. Message on a later day, so your name isn't new when the request arrives.

Hey Dana, saw your comment on Jess's post about agencies dropping retainers. She's on a small panel in Austin on Nov 20 about exactly that, 60 seats. Want me to send you the details?

The second one can't have been sent to 500 people. It ties the event to something she said and asks a one-word question. No link until she says yes.

    07

What do you say when someone replies?

A reply is the warmest moment you'll get. Answer fast, answer the actual question, make the next step tiny:

    Dana replies

Sounds interesting. Is it free? And is it more for agency owners or in-house people?

The answer that registers herGets replies

Free, 60 seats, mostly agency owners with 5 to 30 people, so you'd fit right in. It runs 6 to 8:30 at Fulton Hall on 6th. Want the link? It takes about 30 seconds.

    Dana

Yes please. Can I bring my ops lead?

    Closing the loopGets replies

Of course, here it is: [link]. Add her on the same form. I'll message you both the address and parking the day before.

It's honest about who the room is for, gives the details people decide on and asks before sending the link. If someone goes quiet, one short nudge a few days later is fine. Two is the limit. After they register, the confirmation, the day-before reminder and the “we start in an hour” all go in the same thread where they said yes. The full sequence is in how to reduce event no-shows.

    08

How many DMs does it take to fill an Instagram event?

Work backwards from the seats, not forward from your follower count. Start with show-up, because not everyone who registers comes. PheedLoop's data on 1,070+ live events puts the gap at about 11 points between free and paid events.

    28% vs 17%

median no-show rate at free events vs paid events

Say you want 60 people in a free room. Plan for about 70% show-up and you need around 86 registrations. Now the outreach side, with assumptions you should swap for your own: if 15% of DMs get a reply and 40% of replies register, every 100 DMs give you about 6 registrations. Your posts, Stories and Collabs bring some of the 86 for free. Say they bring 40. The other 46 need roughly 770 DMs over 3 to 4 weeks.

At a safe pace that's more than one account can send, which is why teams spread outreach across several warmed profiles instead of pushing their brand account. Check your own show-up assumptions against the event attendance benchmarks, and see how to get more event attendees for the other channels.

    How MyBazooka handles this

    How MyBazooka handles this

MyBazooka learns your event in one conversation: it reads your website and asks who your ideal attendees are and what makes this event worth the evening. Then it collects them on Instagram from the followers of your speakers, partners and the accounts your audience follows, from commenters on posts and Reels in your niche, and from your own followers, and researches each one: bio, link in bio, the comment they left, their website.

Every person gets a profile view with a like and a short comment on 1 to 3 posts first, and a personal DM on a later day, at 12 to 18 DMs a day per profile, each in its own browser. The AI conversation agent answers every reply live, covers agenda, speakers, location and price, handles objections and follows up when people go quiet, until they're registered. A thank you page gets them excited, and personal reminders on Instagram, plus email and SMS, turn registrants into show-ups. The same campaign runs on 8 social channels and cold email, and improves from every reply.

    FAQ

    Questions people ask

How do I promote an event on Instagram?

Put the registration link on Story link stickers and in your bio, run Collab posts with your speakers, post Reels that show the room and add a countdown sticker in the final 2 weeks. Then DM the people you want there, after a like and a comment.

Does Instagram have an events feature?

Not a full one. There's no event page with RSVPs like on Facebook or LinkedIn. The closest is a feed post with an event reminder, for professional accounts. You build the rest from Stories, your link in bio, Collab posts, Reels and DMs, all pointing to your own registration page.

How do I use the countdown sticker for an event?

Add it to a Story and set the end time to your registration deadline or the start of the event. Viewers can tap it to get a reminder when it ends. Use it in the last 2 weeks, not on announcement day, and pair it with a link sticker.

Can I DM people on Instagram about an event without getting blocked?

Yes, if each message is personal and you pace it. Non-followers get one text-only request, so leave the link out until they reply. Meta publishes no limit; community estimates put established accounts at 30 to 40 cold DMs a day. Stay well under.

How do I use Collab posts for events?

Invite each speaker, sponsor or partner as a collaborator on their announcement post. It appears on both profiles and in both audiences' feeds. Write the caption for their followers and give each partner their own registration link so you can track results.

What should the link in bio be for an event?

Your registration page itself, not a link menu where the event is the fourth button. Change it on announcement day and keep it there until the day after, when you can swap it for the recording or the next date.
