How early should hackathon promotion start?
Earlier than you think, because the things that sell a hackathon (venue, sponsors, prizes, judges) take months to lock in. MLH's organizer guide lays out the build order. Here it is with a promotion lane added.
| When | Build | Promote | Goal |
|---|---|---|---|
| 4 to 9 months out | Date, purpose, leadership team, venue | Nothing public yet; list the clubs, servers and communities you'll work | A venue and a date |
| 4 months out | Placeholder website, budget, sponsor prospectus, sponsor outreach | Placeholder page with an interest list | First sponsors and an interest list |
| 3 months out | Main website live, registrations open | Outreach starts: clubs, Discord servers, X, Reddit, past hackers | Registrations flowing |
| 2 months out | Judging plan, judges and mentors booked, workshops planned | Announce judges, prizes and sponsor challenges one by one | A spike with each announcement |
| 1 month out | Run of show, final headcount, food, transport | Personal invitations to builders, follow-up to the interest list | Over-registered for attrition |
| 1 week out | Reminders, setup, judge and mentor follow-up | Check-in details to every registrant, waitlist released | Confirmed show-ups |

The Build column follows MLH's Hackathon Timeline in its Hackathon Organizer Guide. The Promote and Goal columns are our additions.
MLH's timeline also puts applying to become an MLH Member Event at the 4-month mark. If you want that badge on your page, the clock starts there.
What makes builders sign up for a hackathon?
Builders don't register for "a hackathon". They register for a reason to build something specific, with people they want to meet, in a weekend that's worth giving up.
- Problems worth solving. Name 2 to 4 tracks with real problem statements, not "build anything with AI".
- Prizes builders care about: cash, yes, but also API credits, hardware, interviews and a demo slot in front of investors.
- Judges they want looking at their work. One respected engineer or founder sells more seats than a bigger prize pool.
- Sponsor tools they want to try, with engineers from those teams on hand as mentors.
- No excuses left: free entry, food, travel help, a team-matching channel for people coming solo and a clear beginner track.

That's a useful anchor. 300 builders is a room, not a festival. You don't need a famous brand to fill it. You need the right few hundred registrations, and that's a list you can build person by person.
How do sponsors and judges help you promote?
Sponsors fund the prizes and judges sell the seats, and both can promote, if you ask. Build that into the deal from the first email.
- Put promotion in the sponsor prospectus: one post to their developer audience, one mention in their community server or newsletter. It costs them little and fills the room they're paying for.
- Give every sponsor and judge a ready-made post and their own tracking link.
- Announce each judge separately. Every announcement is a fresh reason to post and to tag them.
- Follow up the way MLH tells organizers to: wait 1 to 2 weeks (3 to 4 days close to the event) and ping up to 3 times.
Hi Priya, your talk on agent evals is the reason half our Discord started testing their prompts. We're running a 24-hour AI hackathon on April 18 in Austin, about 300 builders, with an agents track. Would you judge it? It's 3 hours on Sunday afternoon.
Once Priya says yes, she's a promotion channel too. Her post saying she's judging reaches the builders who follow her, which is exactly your audience.
Where do you post a hackathon?
Where builders already are, in the way each place allows.
- Discord servers: AI tool communities, developer tool servers, regional builder servers and your own. Ask the admins first, as in Discord event promotion.
- X: builders announce what they ship there. Post the tracks, judges and prizes, and reply under posts from people building in your theme. See how to promote an event on X.
- Reddit: city and tech subreddits that allow event posts, ideally with the mods' OK. Read each sidebar first; promoting an event on Reddit covers the rules.
- University clubs and departments: MLH points organizers to groups like ACM, IEEE, SWE and SHPE, to design and business departments, and to at least 3 schools within 6 hours of campus.
- Developer programs MLH names: GitHub Campus Experts, Microsoft Learn Student Ambassadors and Google Developer Groups.
- Other hackathons: ask them to share yours, and share theirs.
61.7%
of developers who are learning to code use Discord for learning and community (38.9% of all respondents)
Source: Stack Overflow Developer Survey, 2025
That's why Discord is home base for so many hackathons, and why students are the easiest builders to reach there. Working developers lean on Reddit (53.6% of professionals) and Discord (37.3%) too, so a hackathon for engineers with jobs needs both. More on that audience in tech conference marketing.
How should you set up the hackathon's Discord server?
Your server is where registrants turn into participants. Set it up before registrations open and put the invite link on the confirmation page.
- #announcements: schedule, check-in, deadlines. The only channel that pings everyone.
- #introductions and #team-formation: solo registrants find teammates here, and a teammate is someone counting on you to show up.
- #help plus a mentor channel per track or sponsor, staffed during the event.
- #ask-the-organizers for logistics, so questions don't drown the other channels.
- A voice channel per team for online or hybrid events, so mentors and judges can drop in on each team.
- #showcase for demos afterwards. It becomes your promotion for next year.
Create a Discord Scheduled Event for the opening ceremony and each workshop. Members tap Interested and get a notification when each one starts.
What should a hackathon invitation to builders say?
Posts reach people who already follow the hackathon scene. Personal invitations reach the builders you most want: the ones shipping side projects, posting demos and answering questions in the servers you share. Write to them like a fellow builder.

Hey Diego, saw your demo of the voice agent that books dentist appointments. We're running a 24-hour agents hackathon in Austin on April 18, with an applied AI track that's basically that. Want the details?
Sounds fun. I don't have a team though, and I'm not sure I'm good enough.
Lots of people come solo, we run team matching Friday night in #team-formation. There's a beginner track too, and mentors from 2 of the sponsors. You'd be fine. Want the link?
Ok yeah, send it.
Here it is: [link]. Once you're in, post your voice agent in #introductions. A couple of people are already looking for someone who's done voice.
The last line does the show-up work. Diego now has people waiting for him, not just a ticket.
How do you fill an AI meetup?
An AI meetup is the smaller, monthly cousin of a hackathon: a few dozen to a hundred-odd people, demos instead of a 24-hour build, and a crowd that comes back if the demos are good.
- Make demos the headline: 5 demos, 5 minutes each, real things people built, no pitch decks.
- Recruit demo-givers, not just attendees. Every demo-giver brings friends and posts about it.
- Same night, same place, every month. Regularity is half the promotion.
- Keep the community going between meetups in a Discord server, with a recurring Scheduled Event.
- Invite by what people build. Someone who posted a fine-tuning thread last week is a better invite than anyone with "AI" in their bio.
Hey Mei, your thread on running Llama locally on a Mac mini got passed around our server all week. We do 5-minute demos at the AI Builders meetup on the 12th. Would you show it?
Ask one demo-giver a month like that and the meetup promotes itself, because every demo-giver tells their own followers where to find them.
How MyBazooka handles this
MyBazooka learns your hackathon or meetup in one conversation: it reads your site, then asks who you want building in the room and what makes this one worth a weekend. Agents then collect builders where they already are, running hundreds of queries at once: members of the Discord servers you're in, with their roles and activity, people replying to builder posts on X and Threads, members of the right subreddits, plus LinkedIn, Instagram, Facebook, TikTok and cold email, in one campaign.
Every builder is researched individually (what they ship, what they post, which server you share) before a word is written. Invitations go out as personal DMs, friend requests, connection requests and comments on their posts, inside safe daily limits per profile. When someone asks "do I need a team?" or "is there a beginner track?", the AI conversation agent answers, follows up when they go quiet, and keeps going until they're registered. A native thank you page gets them excited, and personal reminders arrive on the channel they registered on, plus email and SMS, right up to check-in.
Every message, reply and registration feeds back in, so the sources that bring real builders get more of the volume. Plans start at $2,897 a month, month to month, cancel any time. See pricing or book a strategy session.
Questions people ask
How do you promote a hackathon?
Lead with real problem tracks, prizes builders care about and judges they respect. Post in Discord servers, on X, in Reddit communities that allow it and through university clubs, then personally invite builders who ship in public. Ask sponsors and judges to promote to their own audiences.
How early should hackathon promotion start?
MLH's timeline puts hackathon outreach and registrations at about 3 months before the event, after the venue and the first sponsors are in place. Announce judges and prizes around 2 months out, and send personal invitations and follow-ups in the final month.
How do I get students or developers to register for a hackathon?
For students, work university clubs like ACM, IEEE, SWE and SHPE, nearby schools and student developer programs, plus Discord, which 61.7% of learners use for community. For working developers, add Reddit and X, and invite people personally based on what they've built.
How do I fill an AI meetup?
Make demos the headline, recruit demo-givers who bring their own followers, run it at the same time and place every month and keep the community alive between meetups on Discord. Invite people based on what they build, not on keywords in their bio.
What share of hackathon registrants actually show up?
Major League Hacking tells organizers that most events see a 30 to 50% drop-off in attendance. Over-register to match, confirm attendance 1 to 2 weeks out, release unconfirmed spots to a waitlist and send clear check-in details a week before.
Where do I post a hackathon?
Your own and partner Discord servers, X, Reddit communities that allow event posts, university clubs and departments, student developer programs like Google Developer Groups and other hackathons that will share yours. Ask admins and mods first wherever you're a guest.
