Where do booked calls actually get lost?
Look at your last 50 positive replies and follow each one to the end. Most teams find the same leaks, in roughly this order:
| Fix | The leak | What changes |
|---|---|---|
| 1. Reply within the hour | Interest cools while you wait | Far more replies turn into conversations |
| 2. Answer the question asked | Dodged questions feel like a pitch | Trust goes up, objections go down |
| 3. Keep it in the same channel | Moving them to email loses them | Fewer drop-offs mid-conversation |
| 4. Propose 2 specific times | A bare link feels like homework | Faster yes, fewer back and forths |
| 5. Follow up on silence | Quiet gets treated as no | Busy people come back |
| 6. Handle “not now” properly | Timing objections get dropped | Later deals stay alive |
| 7. Confirm in writing | No agenda, no commitment | People show up prepared |
| 8. Remind before the call | They simply forget | Fewer no-shows |
| 9. Track per message | You can't see what works | You keep the winners |

None of these need more leads. They all get more out of the replies you already have.
How fast should you reply to a lead?
Within the hour, and faster is better. This is the single biggest lever on the list, and it's backed by one of the most cited studies in sales.
7x
more likely to qualify a lead when you respond within an hour, versus an hour later
Source: Harvard Business Review, 1.25 million leads
60x
more likely within an hour than when you wait 24 hours or more
Source: Harvard Business Review
That study looked at inbound web leads, but the logic holds in DMs. Someone replies to your message on their phone between meetings. If you answer while they're still in the app, you're having a conversation. If you answer tomorrow morning, you're starting over with a stranger who half remembers you.
What should you say when they ask a question?
Answer it. It sounds obvious, but the most common mistake in appointment setting is dodging a direct question to push for a call. People notice, and it makes everything after feel like a trap.
Interesting. What does it cost roughly?
Great question! It depends on a lot of factors. Let's jump on a quick call and I'll walk you through everything.
Most clients pay $2,000 to $4,000 a month, depending on volume. Whether it's worth it depends on your deal size. Want to check that together on Thursday, 2pm or 4pm?
The good version answers, gives context and then earns the call with a reason. Also keep the conversation where it started. If they replied on LinkedIn or Instagram, book on LinkedIn or Instagram. Every channel switch, “what's your email so I can send details?”, loses people.
Calendar link or a specific time?
Propose 2 specific times first. A bare booking link asks them to open a page, scan a week and choose, which is small homework from someone they just met. “Thursday 2pm or Friday 10am?” takes 2 seconds to answer.
Send the link as a backup, not the opener: “If neither works, grab any slot here.” And always state the time zone when you're not sure where they are.
How many follow-ups before you stop?
If they showed interest and went quiet, follow up 2 or 3 times over 1 to 2 weeks. Each message should add something: a relevant example, a shorter question, a new time slot. Don't guilt them and don't send “just checking in”.
Hey Mark, no rush on this. Quick one: is the SDR hiring still the priority, or did that change? Happy to send 2 new times if this week got away from you.
Then handle “not now” as a real answer, not a rejection. Ask when would make sense, and come back exactly then. A prospect who says “talk to me in Q1” and hears from you in the first week of Q1 is often the easiest booking of the quarter. More timings and examples are in our guide to LinkedIn follow-ups, and they work on every channel.
How do you stop booked calls from not showing up?
A booked call that doesn't happen is worth zero. No-shows vary a lot by how the call was booked. RevenueHero looked at 6,428 B2B meetings booked through instant scheduling and found a 6.5% no-show rate, while cold-booked meetings usually do much worse.
Three things close most of that gap:
- 1Confirm in the conversation itself: the time, the time zone and one line on what you'll cover.
- 2Send a calendar invite with a short agenda that's about their problem, not your product.
- 3Remind them the day before and an hour before, in the channel they replied in.
If they still don't show, message within 10 minutes with 2 new times. Most no-shows are a clash, not a change of heart.
How do you know which fix is working?
Track every step, per channel and per message: replies, positive replies, booked calls, calls held. When you can see that one opener books twice as many calls as another, or that follow-up 2 does more than follow-up 3, you stop guessing.
Most teams track leads and closed deals and nothing in between. The middle is where your appointments are. If you're still working on getting replies in the first place, start with why LinkedIn messages get ignored or our Instagram cold DM openers.
What it does across all 8 channels, step by step.
Bazooka's AI closer is built for exactly this gap. It listens for replies on all 8 channels it runs, LinkedIn, Instagram, Facebook, X, TikTok, Reddit, Threads and Discord, and answers in real time, evenings and weekends included. It answers the actual question, handles objections, proposes times and books the call onto your calendar inside the same conversation.
When a prospect goes quiet it follows up, timed by the AI and capped at your limit, and it comes back when someone said “not now”. Before any of that, Bazooka collects the leads, researches each one and starts the conversations. Every reply, booking and no-show feeds back in, so the system keeps the messages that book calls and drops the ones that don't.
Pricing starts at $497 a month for AI Starter: 8 senders running on profiles you bring. AI Accelerator is $1,897 a month with 24 senders and 24 ready-made profiles, and AI Scaler is $3,297 a month with 48 of each. One sender runs campaigns from one profile. Extra senders start at $99 a month and ready-made profiles at $150, cheaper with volume. Get a demo and see it run on your own market.
Questions people ask
How do I book more sales appointments?
Reply to every interested lead within the hour, answer the question they asked, propose 2 specific times, follow up 2 or 3 times on silence, and confirm and remind before the call. Most lost appointments leak out between the first reply and the calendar.
How fast should you respond to a lead?
Within an hour. Harvard Business Review found firms that responded within an hour were nearly 7 times as likely to qualify the lead as those who waited longer, and 60 times as likely as those who waited 24 hours or more.
Should I send a Calendly link or suggest a time?
Suggest 2 specific times first, with the time zone. A bare link adds friction for someone who barely knows you. Offer the link as a backup if neither time works.
What is a good no-show rate for sales calls?
RevenueHero measured 6.5% across 6,428 B2B meetings booked through instant scheduling. Cold-booked meetings usually run higher, which is why confirmations and reminders matter so much.
How many times should I follow up before giving up?
If they showed interest, 2 or 3 follow-ups over 1 to 2 weeks, each adding something new. If they said “not now”, ask when, and follow up exactly then.
Can AI book sales appointments for me?
Yes. AI can answer replies in real time, handle common questions and objections, and book calls onto your calendar. It works best when it answers honestly and knows when a lead isn't a fit.
