Financial advisor seminar marketing: fill client seminars and investor events, inside the rules

Financial advisor seminar marketing works best when you personally invite a short list of the right people, prospects with a real trigger, your clients' friends and centers of influence like CPAs and estate attorneys, and get every invitation approved before it goes out. The old playbook, a mailer and a free steak dinner, still fills rooms, but often with the wrong people, and it draws regulators' attention. Under FINRA Rule 2210 and the SEC Marketing Rule, your invitations are regulated communications, even in a LinkedIn DM. Here's what applies, who to invite, how many invitations you need, and exactly what to say.

Which advisor events work, and who are they for?

Every advisor event has one job. A retirement workshop opens new relationships. A client appreciation night earns referrals. A lunch with 8 CPAs builds a referral network. Mixing the jobs is how you end up with a room full of free-dinner regulars and no follow-up meetings.

Room sizes are rough planning ranges, not a study. Compliance notes summarize FINRA Rule 2210 and the SEC Marketing Rule; they are not legal advice.

The highlighted row is the classic seminar, and the one regulators study most. If you run it, run it clean.

    02

What do FINRA Rule 2210 and the SEC Marketing Rule say about seminar invitations?

Which rule you follow depends on how you're registered. Broker-dealer reps follow FINRA Rule 2210. Registered investment advisers follow the SEC Marketing Rule, Rule 206(4)-1. Dual registrants deal with both. Plain-English summary first, and one line that applies to all of it: this is not legal advice, your chief compliance officer decides.

    FINRA Rule 2210 (broker-dealers)

    25

retail investors within 30 days: send the same written message to more and it becomes a retail communication that a principal must approve before use

    Source: FINRA Rule 2210

    • Correspondence is written communication to 25 or fewer retail investors within any 30-day period. It doesn't need pre-approval, but it's supervised and reviewed.
    • Retail communication goes to more than 25 retail investors within 30 days. An appropriately qualified principal must approve it before use. New member firms must also file these with FINRA at least 10 business days before first use, for their first year.
    • A seminar counts as a public appearance, and the scripts, slides and handouts you use there are communications under the rule.
    • Records are kept under SEC Rule 17a-4. FINRA's Regulatory Notice 17-18 adds that business texts and chats must be retained too, so use only channels your firm captures.

The SEC Marketing Rule (investment advisers)

The Marketing Rule took effect in 2021, with compliance required from November 4, 2022. An advertisement is any communication that offers your advisory services to prospective clients. One-on-one communications are excluded, and so are extemporaneous, live, oral ones, which covers most of what you say on stage. Advertisements may not include untrue or unsubstantiated statements, misleading implications, benefits without the material risks, or performance presented unfairly. Testimonials need clear disclosures, and you must keep copies of every advertisement.

Here's the part that matters for DMs. In the adopting release, the SEC says bulk emails and algorithm-based messages addressed to one person are still advertisements, and a template with the investor's name filled in is not a one-on-one communication. So a seminar invitation sent to 200 people with their first name swapped in is an advertisement, wherever you send it.

    03

Why do regulators watch free lunch seminars?

Because they studied them. Between April 2006 and June 2007, the SEC, NASAA and FINRA ran 110 examinations of firms that hold “free lunch” sales seminars for seniors. Many were advertised as educational, some with “nothing will be sold at this workshop”, yet examiners found they were designed to open accounts and sell products.

    57%

of the 110 examinations found advertising or sales materials that may have been misleading, exaggerated or unwarranted

Source: SEC, NASAA and FINRA, 2007

    13%

found indications of possibly fraudulent practices; 23% found possibly unsuitable recommendations

Source: SEC, NASAA and FINRA, 2007

The mailers carried lines like “How to receive a 13.3% return”. Attendees often didn't know which firm sponsored the seminar, or that product sponsors may have helped pay for it. The report is old, but it still shapes how examiners look at seminars aimed at retirees.

So the fix is simple honesty. Name your firm in the invitation. Say plainly that the event is educational and that a one-on-one review is available afterwards for anyone who wants it. Disclose any sponsor. Leave returns out completely.

    04

Who should you invite to a financial seminar?

The best rooms are built from 3 groups, in this order:

    1. 1Clients' referrals. Ask each client to bring one friend facing the same decision. A warm seat beats any cold one.
    2. 2Centers of influence. CPAs, estate planning attorneys, HR and benefits leaders, and business brokers see your ideal clients before you do. Invite them as guests, and ask them to bring a client.
    3. 3Prospects with a trigger. Someone who just left a long career, sold a business, changed jobs with a 401(k) to roll over, or posted about planning for retirement. On LinkedIn these triggers are public: job changes, retirement posts, company acquisitions.

Skip the people who come for the dinner. A topic that only matters to a specific decision, like “Turning a business sale into retirement income”, filters the room for you.

On LinkedIn you can search by title and location: CPAs and estate attorneys in your city, owners of companies with 10 to 50 employees, engineers at a company that just announced buyouts. The connection request is where you start, and the full mechanics are in how to promote an event on LinkedIn.

    05

How many people should you invite to get 20 to attend?

Work backwards from the room. Free events lose more registrants than paid ones, and small free events lose the most.

    28%

median no-show rate at free events, versus about 17% at paid events

Source: PheedLoop Event Data Lab, 2026

Say you want 20 people in the room. Small free events often run a third or more no-shows, so aim for about 30 registrations. If 1 in 5 people you invite personally registers, you need about 150 invitations, spread over 3 to 4 weeks. Centers of influence and clients' referrals register at much higher rates than cold prospects, which is why you start with them. The rates here are assumptions: measure your own after the first wave and adjust. Benchmarks by event type are in event attendance rate benchmarks.

    06

What should a compliant seminar invitation say?

Short, specific, about their situation, with your firm's name and no claims. Here's the difference.

    The mailer regulators rememberGets ignored

Never run out of money in retirement! Join us for a FREE gourmet steak dinner and learn the secret strategy the big banks don't want you to know. Nothing will be sold. Seats are limited, call now!

Hi Karen, congrats on retiring from the county after 31 years. I'm an advisor at Harbor Point Wealth. We're running a small workshop on turning a pension and 401(k) into monthly income on May 14. Would that be useful right now?

    Invitation to a CPAGets replies

Hi Dan, I see a lot of your business owner clients' names on sale agreements. We're hosting a lunch for 8 CPAs and estate attorneys on June 3 about post-sale tax and income planning. Would you join us?

Then the replies come, and that's where most advisors improvise. Use approved answers instead.

    Their reply

Will you be selling annuities there? And what kind of returns do your clients get?

    Approved answer

Fair questions. There's no product presentation at the workshop, it's education on income planning, run by Harbor Point Wealth. I can't discuss returns in a message, but if you want to look at your own situation afterwards, you can book a separate meeting. Shall I save you a seat on May 14?

Notice what the answer doesn't do: no performance, no promise, no pressure. It answers the real worry, says who's behind the event, and goes back to the seat. For more invitation formats, see LinkedIn event invitation messages, and for a closed-door format, executive dinner invitations.

    07

How do you follow up after a seminar?

The seminar is the start of the relationship, not the sale. Follow up within 24 hours, on the channel each person registered on, using approved copy.

    1. 1Attendees: thank them, send the approved one-page summary, and offer a one-on-one review with a simple yes or no.
    2. 2No-shows: say you missed them, send the same summary, and offer the next date. People who registered and didn't come are still interested.
    3. 3Centers of influence: thank them for coming and ask which of their clients would get the most from the next event.
    4. 4Clients who brought a guest: thank them personally. That's your referral engine.

Keep everything in your firm's archived channels. Reminders before the event matter as much as follow-up after it, and how to reduce event no-shows has the full sequence.

    How MyBazooka handles this

    How MyBazooka handles this

MyBazooka learns your event in one conversation: it reads your website and asks who your ideal attendees are, what makes the seminar worth an evening, and which wording your compliance team has approved. It collects qualified attendees on LinkedIn and the channels they use, from Sales Navigator searches, groups, post commenters and followers, and researches each person individually, so the opening line is about their situation and the rest comes from your approved kit. On LinkedIn every person gets a profile view first, then a connection request or InMail, at 11 to 14 connection requests and 70 to 80 profile views a day per profile.

The AI conversation agent handles every reply from the answers you gave it, on agenda, speakers, location, cost and what happens after the event, qualifies people, follows up when they go quiet and registers them. Registered by MyBazooka, attendees land on a native thank you page and get personal reminders on the channel they registered on, plus email and SMS. Before launch, check with compliance that your firm's supervision and archiving cover each channel you use. Every result feeds back into the system.

We run it for you: pricing starts at $2,897 a month, month to month, and you can cancel any time. Or book a strategy session and watch it work on your own event.

    FAQ

    Questions people ask

How do financial advisors fill a seminar?

Start with clients' referrals and centers of influence like CPAs and estate attorneys, then invite prospects with a real trigger, such as a recent retirement or business sale, one by one. Pick a topic narrow enough to filter out free-dinner regulars, and remind everyone personally before the event.

Can advisors use LinkedIn or DMs to invite people to a seminar?

Yes, if your firm approves the channel and can supervise and archive it. FINRA's Regulatory Notice 17-18 says business messages must be retained, and the content rules apply to a DM the same way they apply to a mailer. Use approved invitation copy and personalize only the opening line.

What does the SEC Marketing Rule say about seminar invitations?

An invitation that offers your advisory services to prospects is generally an advertisement. One-on-one messages are excluded, but the SEC says bulk or template messages with a name filled in are not one-on-one. Advertisements can't include misleading or unsubstantiated claims, and you must keep copies. This is not legal advice.

Does compliance have to approve seminar invitations?

For broker-dealers, a written message sent to more than 25 retail investors within 30 days is a retail communication, and a principal must approve it before use. For investment advisers, most firms require pre-approval under their compliance policies anyway. Assume yes and get your invitation kit approved first.

How many people should I invite to get 20 to attend?

Plan for about 30 registrations, because small free events often lose a third or more of registrants. If 1 in 5 people you invite personally registers, that's around 150 invitations over 3 to 4 weeks. Referrals and centers of influence convert much better, so start with them.

How do you follow up after a seminar?

Within 24 hours, thank attendees and offer a one-on-one review, send no-shows the approved summary and the next date, and thank the clients and partners who brought guests. Use approved copy and keep every message in your firm's archived channels.
